PROCESSING AND SECURING PERSONAL DATA
When you book a stay at one of our locations, we will need to collect some information about you. We also process data in other cases, such as when you request information, when we run competitions and when you visit our websites. In doing so, we also use third parties who receive certain personal data and process it on behalf of Vawidi. This happens, for example, for the dispatch of brochures and mailings or the processing of our guest survey. In the event of a booking, your data will of course be shared with the site where you are staying.Below you will find a detailed description of what type of data we can process and how we use it.


What would we like to know from you?
First name, surname and gender
We would like to use this personal data, in order to be able to address you personally at the location as well as in our further communication. These are also necessary to be able to register your booking and to include the data in the accommodation register.

Address and place of residence
We will send you most of the booking data by e-mail. But some information will need to be sent to your (home) address.

Telephone number
In urgent cases, we may need to contact you by phone. We will call you as soon as possible, if there are any issues to make you aware of. Sometimes we call before arrival or after departure to make sure everything is okay and if everything was to your liking.

Date of birth
The person booking the accommodation with Vawidi must be at least 18 years old. In addition, the tourist tax may depend on the age of the people staying. For this reason, we need your date of birth. If it is your or someone in your group's birthday during your stay, we will try to remember it and may organise something extra.

Payment details
Payment for your booking will be made in a secure payment environment. If you pay by bank transfer, your details will be held on our records to link the payment to your booking. In addition, we will only use your bank account number if you receive money back from us. If you pay by credit card or PayPal, we send your details directly from our secure environment system to our partner. This partner carries out the payments. We cannot see your details during this process. Our partner only informs us if your payment was successful.

IP address
Through the Internet, we can see your IP address. We store your preferences and can advise you accordingly.

E-mail address
You will receive an e-mail about your reservation, your invoice and your bookings. You will also receive newsletters by e-mail. If you no longer wish to receive newsletters and offers, you can simply unsubscribe via the link in the newsletter.

In addition, we use your data for the following purposes:
Guest Service
You can call us, email us and contact us via social media. We store this data, so you don’t have to tell us your journey twice. To improve our service a little every day, we analyse our guests’ experiences and moments.

Locations and partners
Your data will be shared with the location where you are staying and with the organisations carrying out activities related to your booking. This also applies to parties that are not part of
the vawidi staff. This includes, for example, the insurance company if you have taken a travel or cancellation insurance.


Extent of disclosure of personal data to third parties
Partners working with Vawidi and processing data are are contractually obliged by Vawidi to handle your data carefully in compliance with data protection regulations and in accordance with Vawidi's instructions, and neither to use it for their own purposes nor to pass it on to third parties. Vawidi will only disclose data to government agencies if this is required by law. Employees and business partners of Vawidi are required to maintain confidentiality.

Customer account
Your personal data will be included in your personal customer account: Name, postal and billing address, date of birth, telephone number and access data. In this way, you don’t have to enter these details again. We also keep records of your previous bookings, in this way we can help you faster and more effectively.

Newsletter
You can receive newsletters and other offers from us. For the content, we may take into account your interests and your previous bookings and sometimes data from other companies. If you no longer wish to receive newsletters and offers, you can simply unsubscribe via the link in the newsletter or by emailing info@vawidi.com

Reviews and guest survey
You can help other guests with your review. By sharing your experience, you give other guests an even better idea about Vawidi’s accommodations or about a specific location. The answers you give in our guest survey will be reviewed by us to improve our service. In this context, we may also share your answers and data with our sites and partners. We may also contact you in connection about your survey, for example to ask additional questions or to thank you for your feedback.

Improvement
We may contact you for a guest survey. We also want to know how a complaint was handled and what you think of our newsletter. That's why we collect data about our guests’ behaviours. This allows us to analyse your reading behaviour and create content that meets your needs. We do this by recording individual visits and the actions, such as viewing certain pages, zooming in or clicking on links. Sometimes a third party carries out these checks on our behalf.

Promotions
If you have entered a competition, we may contact you to let you know if you have won. We also use this data to analyse our promotions. This will allow us to make them more fun every time. Any photos shared via social media, email or otherwise with Vawidi may be used without further permission or payment from Vawidi.

Customised recommendations
When you visit our website or use our apps, follow us on Facebook, book with us or stay at one of our locations, we remember what you like. We invest in this research to send you suited offers, for example by post. We also use this information to improve our services, websites/apps and to show useful ads, e.g. on Facebook and Twitter. For example, if you access to your social media accounts on different devices, you may see the same customised ads. Cookies play a role in this. To tailor as much as possible information and offers to your interest, we may compare or combine your data with the one from other companies. Where required by law, Vawidi will obtain your consent before sharing your data with third parties.


Data query
Sometimes we use guest data to investigate, prevent or fight fraud. We may be required to disclose personal data to the relevant authorities. In connection with (international) sanctions laws, it is also possible that we may have to share your data with, for example, financial institutions.


Contacting, inspecting, amending or deleting data and complaints
Upon request, we will inform you whether we process your personal data. In addition, you may be able to retrieve, correct, supplement, delete or block this data, e.g. if it is factually incorrect. This may mean that you (partially) cannot longer use our services.

Storage periods
We will retain your personal data for as long as is necessary for the purposes described in this document. However, due to legal requirements, among other things, it may be necessary for us to store the data for longer.


Basics
By law, we must indicate which principles are applied when processing your personal data. This mainly concerns the processing of data on the basis of (1) an agreement, (2) in connection with a legitimate interest of Vawidi, (3) of consent given and (4) in connection with a legal obligation.
We use your data mainly in connection with your booking and therefore on the basis of an agreement with you. Your booking will be registered and we will do everything we can to make your stay as pleasant as possible. Additional contact moments, such as reviews, marketing activities and the registration and analysis of your activities, are related to a legitimate interest of Vawidi. You can also subscribe to the newsletter. In this case, you give us permission to use your data for this purpose. In addition, our partners are required by law to include your data in the local booking register, so you will be asked to provide the necessary information on site.


Data backup
We use extensive security procedures to ensure the security of the personal data we process, including to prevent unauthorised persons from gaining access to this data.


Cookie regulation
Vawidi and third parties use cookies (and other technologies, collectively "cookies") to analyse websites/apps, make them more user-friendly, give a better experience on social media and show you relevant offers on and off the website. By using the website, you agree to this.
A cookie is a small text file that is placed on your computer or other device when you visit a website or app. By setting these cookies, Vawidi can better serve you, both immediately and in the future. Marketing or targeting cookies are placed to store your interests, in this way you receive offers that correspond to your wishes/interests both on and off Vawidi’s website. Vawidi can also automatically stop displaying offers if you have already used them or if you have already seen them a few times. Without these cookies, there is a possibility that you will see irrelevant ads from us more often. Please note that you may also encounter Vawidi ads without cookies.

Which third parties set cookies through Vawidi websites/apps?
Vawidi partners that may also set cookies belong to social media, visitor statistics, job listings, advertising and streaming video areas. The following companies, among others, are partners of Vawidi as such: Google (Plus, Maps, Analytics, AdWords), Bing Search Marketing, TradeTracker, Camping.com, Booking.com, Ctoutvert.com. For more information on how these parties handle cookies, please refer to their privacy policies, such as for Google Analytics and Visual Website Optimizer.
Cookies allow us to analyse browsing behaviour and make offers that are relevant to you. For example, you will not always see the same offer. We continuously improve our online service through data derived from trends and behaviours on our websites. If you use social media such as Facebook or Twitter, you can easily share your interests without having to log in every time.
Vawidi strives to provide the most enjoyable experience possible, both at our sites and on our websites. Cookies help to create this experience on the website.
LEAP GmbH collects and stores data for marketing and for optimisation purposes. From this data, user profiles can be created under a pseudonym. Cookies and a technique called fingerprint can be used for this purpose. Cookies are small text files that are stored locally in the visitor's browser cache. Fingerprint technology (also called IPless key) stores browser environment variables in a database without storing unique user-related data such as an IP address (IP address on Wikipedia).

Automatically transmitted data
Our web server continues to collect some data that is automatically transmitted by the web browser program you are using. This includes:
- the name of your Internet service provider
- the address of the website/app from which you are visiting us
- the subpage of the Vawidi website you are visiting
- Date and duration of your visit

We store the automatically transmitted data in order to compile anonymous usage statistics on the basis of this data, which enable us to track the use of the web pages and to design them in a way that is more tailored to requirements and targeted groups. This includes in detail:
- The development and delivery of new offers tailored to you
- Answering your questions about our products or services
- We do not use this data to identify you as an individual
